Role Overview

We’re looking for an organized, tech-literate Operations & Executive Assistant to help streamline internal systems, support leadership, and drive execution across administrative and strategic projects. You’ll work directly with the CEO to keep things running smoothly—from calendar management to building out internal processes and automation. This is a high-impact, multi-faceted role ideal for someone who’s comfortable with ambiguity and energized by solving problems across functions.

Key Responsibilities

  • Provide high-level executive support including calendar management, communications coordination, and internal documentation
  • Own operational logistics: scheduling, note-taking, internal policy drafting, onboarding checklists, and cross-functional coordination
  • Manage and improve internal systems, including folder structures, automation flows (e.g. using n8n), and access tools (e.g. RBAC, MDM)
  • Conduct research to support company decisions, from vendor evaluations to office space cost analyses
  • Assist with light GTM tasks such as drafting customer-facing copy or compiling contact lists

Qualifications

  • Experience in operations, executive assistance, or internal systems support—ideally at a startup or fast-paced organization
  • Passion for AI systems, even without hands-on ML experience, and a proven ability to manage complex projects and foster collaboration across multiple teams, including data operations
  • Comfortable working with modern tools like Notion, Slack, Google or Microsoft Suite, and basic automation platforms (e.g. MS368, n8n)
  • Proactive and self-motivated, with excellent written communication skills and attention to detail
  • Ability to adapt quickly, figure things out independently, and contribute to strategic execution
